Setup Quickbooks and SubcontractorHub

Prerequisites

Before setting up the QuickBooks integration with Subcontractor Hub, ensure that the following components are installed:

Step 1: Accessing Integrations in Subcontractor Hub

  1. Navigate to Subcontractor Hub Integrations (replace test-append with your organization's specific Subcontractor Hub identifier).
  2. Click on the Integrations section.
  3. Locate QuickBooks in the list of available integrations.
  4. Click the Connect button.


  5. Input an App Name (you can enter any name of your choice for the QuickBooks Web Connector app).
  6. Enter the time duration for the Web Connector scheduler in minutes (e.g., 5 minutes).

Step 2: Download the QuickBooks Web Connector (QWC) File

After setting up the QuickBooks integration:

  1. Click the Download QWC button on the right-hand side.
  2. A quickbooks.qwc file will be downloaded to your system.

Step 3: Running the QuickBooks Web Connector

  1. Open QuickBooks Web Connector on your system.
  2. Click Add an Application.


  3. Browse for the previously downloaded quickbooks.qwc file and select it.
  4. When prompted, allow access permissions to complete the application setup.
  5. Once added, the application will appear in the Web Connector.

Granting Access Permissions

  • A pop-up will appear requesting access permissions. Click OK.

    Another pop-up will ask for access confirmation:

    • Select Yes, always allow access.

    • Check the box Allow this application to access personal data.
  • Click Confirm when prompted.

Step 4: Updating the QuickBooks Web Connector App

After setting up the application, you need to update it with the correct credentials:

  1. Open the quickbooks.qwc file in a text editor (such as Notepad).
  2. Locate the <AppPassword> tag.

    Example:

<AppPassword>gywp5b5C</AppPassword>
  1. Copy the password value (e.g., gywp5b5C ).
  2. In the QuickBooks Web Connector, check the box for the app.
  3. Enter the copied password.
  4. Click Update Selected to save changes.

Step 5: Syncing Data

Once the QuickBooks Web Connector is running, it will sync the following Subcontractor Hub project details with QuickBooks Desktop:

  • Customer Information
  • Contract Amounts
  • Project Notes


Your integration is now successfully set up, and data will sync based on the configured schedule. For troubleshooting or further assistance, contact Subcontractor Hub support.
