SubcontractorHub Welcome Call Feature
Once a proposal moves to the "Closed Won - Documents Signed" stage, the “Complete Welcome Call”.button becomes available in the proposal header. By clicking this button, the customer will receive an email notification, and a survey call URL will be generated.
SubcontractorHub offers the SCH Welcome Call platform, where organizations can log in and create customized welcome call surveys. These surveys feature questions and AI-generated video presenters. After creating a survey, organizations can integrate SCH Welcome Call with their account by adding the survey ID. When the welcome call is scheduled, the customer will receive a link to access the integrated survey.
Note: You'll need to request the superadmin to enable the welcome call feature for your organization. Once it’s enabled, you can access the SCH Welcome Call portal under the “Hi, Username” section.
Step 1: Login to your SubcontractorHub Welcome Call Portal. The superadmin can assist you with the login credentials.
Step 2: Click on the “Create Survey” button in the top right corner of your screen.
Step 3: Enter the name of your “Survey”, “Email Subject”, and “Language(English/Spanish)” and write your email message. This survey email will be sent to your customer for the welcome call.
Step 4: Select your “Presenter”.
Note: A Presenter is an AI Avatar who will conduct the welcome call and ask survey questions.
Step 5: Click “Create Survey”.
Step 6: You can use the survey ID created to integrate the SubcontractorHub Welcome Call feature into your organization. Follow the steps below to learn how to integrate this feature.
How to integrate the SCH Welcome Call feature?
Step 1: Navigate to “Integrations” from your home page.
Step 2: You can find the “SubHub Welcome Call” feature under “All”. Click “Connect”
Step 3: Enter your “Username”, “Password” and “English Survey ID”. You can also add your “Spanish Survey ID”. Click “Submit”
Note: You can request the superamin for the username and password information.
Step 6: The integration card will display a “Connected” label next to the feature, and two new buttons, “Disconnect” and “Reconnect,” will become available on the card.
How to add survey questions for the welcome call?
Step 1: Log in to your SubcontractorHub Welcome Call Portal.
Step 2: Select your customer survey and click on the “Three dots” under “Action” in the far right corner.
Step 3: Click on the “Go to Questions” option from the drop-down menu.
Step 4: Add your “Question”.
Step 5: Select any relevant tags that correspond to your question.
Step 6: Select your “Dealer Type” from the drop-down menu.
Step 7: In the “Option” section, you can provide buttons for your customers to select or confirm their answers. Enter the label of the button or answer choice under “Label”.
Step 8: You can select the icon and background color of the button from their individual drop-down menus.
Step 9: You can preview the button in real-time as you finalize your choices for button customization.
Step 10: You can click on the “Add Option” icon to add additional options for your customers.
Step 11: Similarly, you can add more questions to your survey by clicking the “Add A Question” option.
Step 12: Scroll back up and click “Update”.
Step 13: After clicking “Update”, two new sections appear next to the “Option” tab “Logic” and “Video”. Click on the “Logic” section.
Step 14: The “Logic” section allows you to frame responses and follow-up questions based on the customer's answer choices. This section has two parts:
1. Display Logic -If the respondent selects an option.
2. Skip Logic- If the respondent skips a question.
Step 15: Under “Display Logic”, the “Select Option” dropdown menu will show the buttons you’ve created for the question. You can then create a response template based on the customer's selected answer.
Step 17: Select “Add Option” under “Select Template”.
Step 18: Add your “Template Title” and “Message”. Click “Add Template”.
Step 19: Under “Skip Logic,” the “Select Option” dropdown menu will display the buttons you’ve created for the question. You can then redirect to a different question if the customer skips the current one.
Step 20: Select the questions you want to jump to if a customer skips the question.
Step 21: Scroll back up and click on “Video”.
Step 22: Click on the “Generate Video” button
Step 23: You can preview the presenter delivering the question in the video.
Step 24: Scroll back up and click “Update".
Note: Follow the steps shown above to create multiple survey questions for your customers by using the “Add a Question” option from the left side of your screen.
How to schedule a welcome call with a customer?
Step 1: Once a proposal moves to the "Closed Won - Documents Signed" stage, the “Complete Welcome Call”. button becomes available in the proposal header. Click “Complete Welcome Call”.
Step 2: A “Survey URL” link will be generated, allowing you to open it to start the welcome call or copy it to share with your customer. An email with the survey link will also be sent to your customer.
Step 3: You will be then redirected to the SCH Welcome Call portal.
Step 4: Click “Start Call” to initiate the welcome call.
Step 5: Please provide the necessary permissions to the portal for accessing the camera and microphone of your device and click “Start”.
Step 6: The welcome call portal’s intuitive feature detects when the customer’s face is not aligned with the camera and prompts them to adjust it for a thorough survey.
Step 7: The presenter will ask the questions, and the customer can respond accordingly.
Step 8: After completing the survey, it is automatically uploaded.
Step 9: You will directed to close the window after the survey is uploaded.
Step 10: The button at the top of the proposal will turn green and be labeled “Welcome Call Completed,” indicating the successful completion of the survey call.
